The 6-Step Parts Ordering Checklist That Cut My Mistakes (Almost) to Zero

Step 3: Don't Forget the Little Pieces

This is the step most people skip. You can order the exact right Dayco hose, but if you don't order the right clamps, it will leak. Same with a brake job: the disc might be spot on, but a missing caliper bolt or bracket can turn a two-hour job into a two-day saga.

When I put together a parts order now, I create a separate line for hardware—clamps, gaskets, O-rings, bolts. It takes five minutes. The first time I did it, I caught a missing set of crush washers before the car was apart. That was the day I stopped shipping jobs overnight.   • Ceramic — quiet, low dust, and easy on the disc. They're fine for daily drivers, but they don't hold up as well on a hot track session.
  • Organic — soft and quiet, but they wear out fast and fade when they get hot.

Match the material to the car and the driver. A customer who mostly commutes doesn't need race pads. A customer who tows a trailer should not be surprised when a daily-driver ceramic pad fades on a long downhill grade.

Step 5: Understand What a Modification Actually Does

This is the one I usually have to explain to someone who watched one too many removal videos. Why weld a differential? Because welding the gears together locks both wheels to rotate at the same speed. That's great for drifting or off-road crawling. It is terrible for a daily driver.

If you weld a differential on a car that still sees public roads, you will get aggressive tire wear, difficulty turning tight corners, and a lot of stress on the axles and wheel bearings. It can also be genuinely dangerous in the rain. If you still want to do it, clean the differential thoroughly before welding and make sure the welds are solid—not a few tack welds that break at the worst possible moment. That part of the job is not a place to save money.

Step 6: Pay for Certainty When Time Matters

The vendor failure in March 2023 changed how I think about backup planning. We had a customer's car down, waiting on a part that was 'probably going to arrive on Friday.' Friday came and nothing showed up. We lost a full day of labor, and the customer took the car to another shop. We spent $120 on rush shipping for the same part the next week. That was still cheaper than another lost day.

So here's the thing about expedite fees: they buy certainty, not just speed. When you're on a deadline, a 'maybe on time' promise is the riskiest option. In January 2025, I paid $86 to overnight a brake disc. It felt wasteful until I remembered that the shop had already moved the customer's appointment twice. The overnight fee was insurance against losing the job.

If a part is on national backorder, no shipping method will save you. Ask the supplier to confirm stock before you pay for next-day air. A supplier who knows the difference between 'in stock' and 'probably in stock' is worth the extra money.

Final Notes and Common Mistakes

A few things I still catch myself doing:

  • Ordering the same part number twice because the system shows different shipping dates. (Surprise, surprise—one of them was wrong.)
  • Trusting a 'compatible with' list without checking the fitment notes.
  • Forgetting to ask whether the customer's car has been modified. A suspension or drivetrain change can make a stock replacement part useless.
